Holiday & Leave

Vacation

Allowance

Full-time UK employees at ESPROFILER are permitted to take 28 days of annual leave, in addition to the UK Bank Holidays. This allowance is pro-rated for employees working part-time.

We operate our leave year from 1st January to 31st December, inline with the calendar year.

Duration

No more than ten days’ holiday may be taken at any one time unless specifically authorised by your manager

Carrying over Leave

You can carry over up to 5 days into the following calendar year, but any days carried over must be used within the first quarter of the new year, i.e. by March 31st.

Requesting Time Off

A holiday request form must be completed for all holidays which must be authorised in advance by your manager. Holiday entitlement shall only be taken on dates agreed and authorised in advance by your manager.

You must give at least two weeks’ notice of any proposed holiday dates of up to four days in duration and four weeks’ notice of any proposed holiday dates of five or more days in duration

BreatheHR

We use BreatheHR to track and log our vacation time. You can "Request Leave" through this tool, which will then be submitted for approval by your first-line manager.

Shared Team Calendar

To make it easier for the company to see when people are in/out, we have a shared Google Calendar, called the Team Calendar.

You should have an invite to that calendar, which will append to your Calendar view. If you do not, you can add it manually by following this link.

When you book vacation, you should also add an event to the Team Calendar so that your colleagues can see when you will be in/out.

To do this, follow these steps:

  1. Click "Create"
  2. Call the Event "<Your Name> - OOO"
  3. Ensure the type is "Event" (not "Out of Office"!)
  4. Select the day you will be taking vacation, and make it an "All Day" event.
  5. Towards the bottom, change the Calendar from your personal calendar to "Team Calendar"
  6. Click "Save"

You can then set this event to repeat appropriately if you are out for more than one day in a row.

Sick Leave

If you cannot attend work because you are sick or injured you should personally telephone or message your first-line manager (or in his/her absence another manager or director) as early as possible and no later than 60 minutes after the time when you are normally expected to start work.

If you are off for more than half a day, please log your Sick Leave in BreatheHR.

Evidence of Sickness

You must complete a self-certification form for sickness absence of up to seven calendar days
